Employee data: which upload option to use
There are six ways to get employee commuting data into Dcycle, all behind the same "Add data" button. This page tells you which one applies to you, in what order, and links to the step-by-step guide for each.
The Workforce category feeds Scope 3, Category 7 (employee commuting): how your staff travel between home and the workplace, by what mode, how far and how often. Every way of getting that data in lives behind the same “Add data” button in Data → Workforce → Mobility survey.
This page is the decision guide that goes before the others: it tells you which option applies to you and, where a step-by-step guide exists, points you to it.
Start with the employee list
Whatever route you take afterwards, Dcycle needs to know who your employees are first. Upload the roster with a CSV or Excel template: name, email, work centre, start date.
The email column is what unlocks the email survey later, so include it wherever it exists — even if only part of your staff has one.

Most organizations need two of these, not one
Email for everyone with a corporate address, QR for the rest. Both routes ask for the same measurement period, deadline, survey language and question template, so the answers are directly comparable and land in the same category. Splitting your staff this way is the fastest path to full coverage.
The two survey routes
By email. Dcycle sends the survey to each address. Because every invitation is tied to a named person, you can see who replied and who hasn’t, and chase only the people still pending.
By QR. Dcycle generates a QR code and a link with the same settings. Print it and put it up at the clock-in point, the break room or the plant entrance, or share it over WhatsApp or the intranet. No account and no email needed. Two trade-offs to know: answers are anonymous — recorded as “QR”, not tied to a named employee, so there’s no individual follow-up — and the link expires on the deadline you set. To extend it, generate a new QR.
Both live behind the same “Add data” button: “Send survey by email” and “Generate QR”. Each opens a short form — measurement period, deadline, survey language, question template — and the QR appears at the bottom of its form, ready to download or copy as a link.

Upload commuting data you already collected
If you ran your own survey — an internal form, a spreadsheet the plant manager keeps — you don’t need to survey anyone again. “Upload commuting” takes those answers directly through the bulk importer.
"Upload commuting" and "Import employees" are two different importers
"Import employees" loads the roster — who works here. "Upload commuting" loads the answers — how they travel. They use different templates and they are not interchangeable. If your file has transport modes and distances in it, you want "Upload commuting".
Add a single employee manually
“Add manually” opens a form for one person: their commuting mode, one-way distance and work days per week, for a given period. Use it for late joiners, for someone who couldn’t access the survey, or to fix an answer that came in wrong. It’s not the route for a whole workforce — for that, use the survey or the bulk importer.
Follow up while answers come in
- Track the response rate in the Status column of the employee list, and open any row to check a single answer for outliers → Data health: employees
- Chase only the people who haven’t replied, without emailing everyone again → Resend the survey to pending employees
Close the gap
Not everyone replies. Aim for a response rate of at least 30%, then let Dcycle extrapolate: it calculates the average CO2e per responding employee and applies it to the non-respondents, records the result in historical emissions, produces a supporting Excel with the full calculation, and adds a methodological note to your GHG report.
