How to check that your employee commuting data in Dcycle is complete, survey responses are up to date, and ready to report.
Healthy employee data means your Own workforce commuting survey is complete, representative, and covers the right period. This is Scope 3 — self-reported through a survey rather than an invoice — so auditors look closely at response rates and how non-respondents are handled. Spend a few minutes on this check before you process or report.
Before you start
- Your Own workforce survey should already be active: open Data → Own workforce to see the responses collected and the extrapolated headcount.
- Have your HR headcount figure for the period handy. You’ll need it to confirm the extrapolation is based on the right total.

What to check
Open the Own workforce survey to review individual responses: the Status column shows whether each response is complete, and the transport mode and distance columns let you spot outliers — unusually long commutes or everyone showing the same mode.

Problems in your data
A few symptoms tell you something’s off without checking every row by hand:
- Survey response rate below 20%. Any survey under this threshold contributes emissions, but the extrapolation uncertainty is too high to be defensible under CSRD. Dcycle flags it in the pre-audit panel.
- Own workforce emissions spiking vs. last year. A large unexplained swing without a matching headcount change usually means a unit error (km entered as miles) or a previous survey that wasn’t archived before the new one was created.
How to fix
- Low response rate? Resend the survey from Data → Own workforce → Commuting survey → Resend. You can resend to all pending employees at once, or select only the specific ones you want to follow up with.
- Non-respondents? Dcycle can now estimate commuting emissions for employees who haven’t answered — use the estimation tool in Data → Own workforce to apply a default profile to non-respondents and document the assumption in the inventory notes.
- Stale survey? Archive it at Data → Own workforce → Survey → Archive, then launch a new one for the current period.
